Trade Show Printing Checklist

Trade shows are one of the most effective ways to generate leads and build brand awareness, but only if you show up prepared. The difference between a booth that attracts crowds and one that gets walked past often comes down to the quality and completeness of your printed materials. Start with your booth signage. A retractable banner stand is the single most impactful piece. At 33 by 81 inches, it is visible from across the convention floor and sets up in under a minute. Most exhibitors bring two: one for branding and one for their key offer or product lineup. If your booth has a table, a fitted table cover with your logo instantly elevates the look. Add a foam board or mounted poster behind your table for additional messaging.
Next, plan your takeaway materials. Business cards are essential. Bring at least 500 for a two-day show. Beyond cards, consider a one-page sell sheet or rack card that summarizes your product or service with pricing and contact information. If your offering is complex, a tri-fold brochure or booklet gives you room to explain features, case studies, and testimonials. Every piece should include a QR code linking to your website or a landing page with a show-specific offer.
Do not forget the small items that make a big difference. Name badges for your team look more professional than handwritten stickers. Stickers with your logo or a clever tagline are surprisingly effective giveaways that people actually keep. If you are collecting leads, printed forms or sign-up sheets work as a backup when your tablet dies. A stack of postcards with a special offer gives visitors a reason to follow up after the show.
